Volunteer Policy (2024-25)
West Potomac Crew is truly a team in every sense of the word. The dedication and hard work of the athletes, coaches, and parents ensure that we can effectively run the team while keeping costs as low as possible.
Parent and athlete volunteers not only perform important duties to support of the team, but also enjoy the camaraderie and satisfaction that comes from contributing to the success of our program.
The volunteer opportunities are broad and diverse with roles that suit many talents, skills, and abilities. We have structured our volunteer requests to cover all the key operational areas for the team.
Note that there will not be enough slots for each family to work on every event. So, please sign up for additional tasks in other areas if necessary. For example, if we fill up all the wreath sale slots before your family can sign-up for one, simply signup to help with Tag Day or Ergathon. If all fundraising slots are full, then sign up for an added operations slot, etc.

1. STUDENT ATHLETES: (4 Obligations)
a. FUNDRAISING (3 obligations): Wreath Sale shift, Tag Day, and Ergathon
b. OPERATIONS (1 obligation): Set up or Take Down or Maintenance
2. PARENTS: (at least 4, possibly 5-6 Obligations)
a. COORDINATOR ROLE (returning families)
b. VASRA REGATTA SUPPORT: One shift
c. FUNDRAISING:
• Wreath Sale (1 shift) – Top Priority
• If wreath sale slots fill up, sign up to help with:
• Ergathon -or-
• Tag Day
d. OPERATIONS: One shift supporting:
• Site set up -or-
• Take Down -or-
• Maintenance
• If all slots fill up, sign up for an extra Fundraising or Hospitality/Social task
e. HOSPITALITY/SOCIAL:
• Tent shift at a regatta -or-
• Pasta party host -or-
• Picnic/luncheon volunteer
• If all slots fill up, sign up for an extra Operations or Fundraising shift
f. STOTESBURY CUP REGATTA (select returning families): Chaperones, Hospitality Tent
3. Missed volunteer duties can be fulfilled by performing additional, pre-approved volunteer shifts.
4. We welcome our families’ generous contributions of pasta party & regatta food for our athletes!
In 2024-2025, we will not assess a fee in lieu of volunteering. We will work with all families to find ways they can contribute and support the team.

Serving on the Crew Board fulfills all volunteer requirements during one’s term.
